What TAMID stores about you and the people you fundraise from, and what leaves the system.
Who this is for
TAMID is used by fundraising organisations. Two different groups appear in it: the fundraisers who hold accounts, and the donors they record information about, who do not. Donors never sign in and are not asked to agree to anything here, which is exactly why the limits below are written down.
What TAMID stores about a fundraiser
- Your email address, and a display name if you give one.
- The organisation you belong to, and your role in it.
- Your working hours and meeting preferences, only if you fill them in. Left blank, they stay blank — TAMID does not assume a working day.
What TAMID stores about a donor
Whatever your organisation records: name, contact details, giving history, notes from conversations, tasks, and facts a fundraiser has reviewed and approved. A donor's record belongs to one organisation and is not visible to any other, which is enforced in the database by row-level security rather than by application code alone.
Connecting Zoom
When you connect a Zoom account, TAMID stores:
- your Zoom account email and account identifier;
- an access token and a refresh token, used to create and cancel meetings on your account and to fetch recordings you have asked for;
- whether that account is able to record and to produce a transcript, and the permissions you granted.
Meetings are created on your own Zoom account, so you are the host. TAMID does not host meetings on its own licence.
What TAMID sends to Zoom about a donor
When you schedule a meeting, TAMID registers the donor with Zoom — their name and email address — so that Zoom sends them the invitation and the calendar file. TAMID never emails a donor. If your Zoom plan cannot register a participant, the meeting is still created and the screen tells you plainly that nobody has been told, so you can send the link yourself.
The agenda and talking points you write for a meeting are never sent to Zoom and never appear in the invitation. They are yours.
When you switch recording on, the invitation also carries one sentence written by TAMID, not by you and not by AI, and a private link. The link is where the donor says yes or no to being recorded.
Recording and transcripts
- Recording is off by default, for every meeting. It is never switched on for you.
- When you switch it on, TAMID shows you the disclosure to say aloud at the start of the call, and stores what was shown, when, and by whom. Roughly a dozen US states require all-party consent; that record is why it exists.
- A donor can say no. When recording is on, the donor gets a private link in the Zoom invitation. It opens a TAMID page, with no account needed, where they choose yes or no to being recorded.
- If the donor says no, you cannot switch it back on. Recording is switched off for that meeting and for every upcoming meeting with that donor. Only the donor can change that, through their own link.
- The donor can change their mind until the call's scheduled start. After that, the choice is fixed.
- TAMID cannot change a Zoom meeting in place. When recording is switched on or off, TAMID cancels the meeting and creates a new one at the same time, and Zoom sends the donor a new invitation with a new join link.
- TAMID does not keep a transcript from a meeting whose recording was off, or whose donor said no.
- A no looks forward. It does not delete a recording of a call that has already happened. Erasing the donor does that, as described below.
- If a meeting was recorded, TAMID retrieves the transcript from Zoom and stores it against that donor, scoped to your organisation. It is never shared with another organisation and never enters the shared methodology library that all customers can read.
- TAMID cannot record a meeting you did not ask it to record, and cannot join a meeting as a participant. There is no recording bot.
Artificial intelligence
TAMID uses Google Gemini for coaching, drafting and reading transcripts. The important limits:
- A transcript is sent to the model only when you ask for it to be read. Nothing happens automatically to a transcript that arrives while you are not looking.
- Anything the model proposes about a donor is a proposal. It must quote the transcript verbatim, and nothing is recorded about a donor until a person approves it.
- Where a transcript is not in English, TAMID reports that and does not extract from it, because a model given text it cannot read produces confident statements about a real person that nobody said.
- TAMID's AI provider is contracted so that customer content is not used to train models.
Disconnecting and deletion
- Removing TAMID from your Zoom account causes Zoom to notify TAMID, and the stored connection and both tokens are deleted outright — not merely marked inactive.
- A donor record can be erased. Erasure is explicit, requires the donor's name to be typed, and removes the record and the material captured about them.
- Ask at admin@tamid.ai for anything this page does not cover.
Your rights
If you hold a TAMID account, you can ask for any of the following, and the answer does not depend on why you are asking.
- A copy of your data. Your own profile is on the Settings page, and your organisation's donor list can be downloaded as a CSV file from the Donors page whenever you like. For a full copy of everything held about you and your organisation, including meetings, transcripts and approved facts, write to us and we will send it in a machine-readable format.
- Correction. Your name, working hours and meeting preferences are yours to change on the Settings page. Anything else that is wrong, tell us and we will correct it.
- Deletion. Ask, and we delete your account. Your organisation's owner can ask for the whole organisation to be deleted: every donor record, meeting, transcript and fact it holds, removed rather than marked inactive. Deletion cannot be undone, so we confirm it with you first.
- Objection. You can object to how your data is used, including by the AI features, which only run when you ask them to, and you can stop using them at any point.
Write to admin@tamid.ai from the email address on your account, so we know the request is yours. We reply within 30 days, and usually within a few working days. If you think we have handled your data wrongly, you can also complain to the data protection authority where you live.
Donors do not hold accounts, and a donor's record belongs to the organisation that keeps it. A donor who writes to us is put in touch with that organisation, which can erase the record itself, as described above.
Where data is held
In a Postgres database operated by Supabase, and served by Vercel, both in the United States. Access is restricted to the organisation the data belongs to.
